Your personal data and how we collect it
We may collect personal information when:
- you contact us through our website, by email, telephone, LinkedIn or other professional networking platforms;
- you submit an enquiry or ask us to contact you;
- you provide your CV, LinkedIn profile or other professional information;
- clients discuss vacancies, hiring requirements or recruitment processes with us;
- we receive information from referrals, job boards, recruitment platforms, company websites, professional contacts or other publicly available business sources.
Examples of the information we may collect include your name, contact details, CV, employment history, education, qualifications, LinkedIn profile, salary or package details, notice period, location, working preferences, career preferences, interview notes, role suitability, correspondence and permission to share details with clients.
For clients and business contacts, we may collect your name, job title, company, work contact details, hiring requirements, meeting notes, correspondence, terms agreed, invoice details and information relating to queries, complaints or claims.
For website users, we may collect enquiry details, website usage information, IP addresses and cookie or analytics information where used.
Why we hold and use your data
We use personal information to:
- provide recruitment and search services;
- respond to enquiries and requests;
- discuss career opportunities with candidates;
- support clients with hiring requirements;
- identify, assess and introduce suitable candidates to clients;
- arrange interviews, feedback, offers and recruitment processes;
- send relevant business updates, market information or opportunity updates;
- keep business, tax and accounting records;
- deal with queries, complaints or claims; and
- comply with legal and regulatory obligations.
Lawful basis for processing
Under UK data protection law, we rely on the following lawful bases:
- Legitimate interests — to provide recruitment services, manage client and candidate relationships, discuss relevant opportunities, maintain accurate records and develop our business in a way that does not unfairly override your rights.
- Contract — where processing is necessary to enter into or carry out a contract with a client, supplier or business contact.
- Legal obligation — where processing is needed to comply with legal, tax, accounting or regulatory obligations.
- Consent — where you have given clear permission, for example for certain marketing communications or where we ask for permission to share specific information.
We will not share a candidate's CV or profile with a client or prospective employer for a specific opportunity without the candidate's permission.
How we store and protect your data
We store personal information securely using appropriate technical and organisational measures. This may include secure cloud systems, business email, recruitment CRM software, password protection, multi-factor authentication and access controls.
We do not normally collect special category information such as health information, racial or ethnic origin, political opinions, religious beliefs, trade union membership, genetic information, biometric information, sex life information or sexual orientation information. If you voluntarily provide this type of information, we will only use it where relevant and necessary for the recruitment process or where required by law.
Sharing your data
We may share personal information with:
- clients, prospective employers and hiring organisations where this is necessary to provide recruitment services and the candidate has given permission for a specific role;
- business software, CRM, website, email, cloud, IT, accounting, payment and analytics providers that support our business operations;
- accountants, legal advisers, insurers, brokers, professional consultants and other advisers where needed;
- previous employers or referees where relevant and appropriate; and
- organisations we are legally required to share information with.
We do not share personal information with external third parties for their own direct marketing purposes.
Some of our software and cloud service providers may process or store personal information outside the UK. Where this happens, we rely on appropriate safeguards used by those providers.
How long we keep your data
We keep personal information only for as long as necessary for the purpose for which it was collected. Our usual approach is:
- active candidate records are kept while we are actively working with the candidate;
- candidate records are reviewed after 3 years from last meaningful contact;
- candidate CVs or profiles sent to a client may be kept for up to 6 years after last activity where needed for contract, fee dispute or claim purposes;
- client terms, invoices, payment and accounting records are usually kept for 6 years;
- website enquiries that do not become active are reviewed or deleted after 12 months;
- marketing opt-outs or do-not-contact records are kept for as long as needed to make sure we do not contact the person again.
Your rights
You have rights under data protection law, including the right to ask for a copy of your personal information, ask us to correct inaccurate information, ask us to delete information where applicable, ask us to restrict processing, object to processing, ask for information to be transferred where applicable, and withdraw consent where we rely on consent.
The right to object applies at any time where we use your personal information for direct marketing. To make a request, please contact [email protected]. We will respond without undue delay and usually within one month.
